How SMS Reminders Work

Overview

Sergio automatically sends SMS text reminders to customers 24 hours before their scheduled job using OpenPhone integration.

What customers receive:

Hi John! This is Acme Windows. We're scheduled to clean your windows tomorrow (Friday) at 2:00 PM. Reply YES to confirm or CANCEL if you need to reschedule. See you soon!

How It's Different from Two-Way SMS

Important: This feature sends one-way reminders only. Customers cannot text back.

  • Included in TEAM+ plans: Automated 24-hour job reminders
  • Coming Q2 2026 ($10/mo add-on): Two-way SMS conversations, customers can reply

Setup & Configuration

Enabling SMS Reminders

  1. Go to SettingsNotifications
  2. Scroll to SMS Reminders section
  3. Toggle Enable SMS Job Reminders
  4. Choose timing:
    • 24 hours before (recommended)
    • 48 hours before
    • 1 hour before
  5. Click Save Settings

Customize Message Template

  1. In SMS Reminders section, click Edit Message Template
  2. Customize text using variables:

    Hi {{customer_name}}, this is {{company_name}}.

    We're scheduled to clean your windows {{job_date}} at {{job_time}}.

    See you then!

  3. Keep under 160 characters to avoid split messages
  4. Preview shows how it looks with real data
  5. Click Save Template

Opt-In Management

SMS marketing requires customer consent. Sergio handles this automatically:

  • When adding customer, checkbox: "Send SMS reminders?" (default: checked)
  • Customer portal includes opt-in/opt-out toggle
  • Customers can reply STOP to any message to opt-out (auto-processed)
  • Opt-out list maintained for compliance

Sergio uses OpenPhone (formerly Quo) to send SMS messages. This is integrated and automatic—you don't need an OpenPhone account.

SMS Credits & Pricing

SMS reminders are included with PROFESSIONAL+ plans:

  • Professional Plan ($50/mo founder, $200/mo regular): 500 SMS/month included
  • Business Plan ($100/mo founder, $400/mo regular): Unlimited SMS
  • Enterprise Plan ($1,000/mo founder, $4,000/mo regular): Unlimited SMS
  • Overage (Professional): $0.02 per additional message

Best Practices

Timing Recommendations

  • 24 hours before - Best for residential (gives time to reschedule)
  • 2 hours before - Good for same-day confirmations (requires Business plan custom scheduling)
  • Avoid sending after 8 PM - Sergio automatically delays until 9 AM next day

Message Content Tips

  • Start with company name - "Hi! This is Acme Windows..."
  • Include job details - Date, time, service type
  • Keep it friendly - "Looking forward to seeing you!"
  • No marketing language - Reminders only, not promotional
  • Include opt-out - "Reply STOP to unsubscribe" (auto-added)

Tracking Effectiveness

Measure impact of SMS reminders:

  1. Go to ReportsSMS Analytics
  2. See metrics:
    • Messages sent
    • Delivery rate
    • Opt-out rate (should be under 2%)
    • No-show rate before/after enabling SMS
  3. Expected result: 60-70% reduction in no-shows

Common Customer Responses

Since this is one-way SMS, customers cannot text back. However, you may receive:

  • Phone calls - "Got your text, need to reschedule" (handle normally)
  • Emails - Some customers prefer email reply
  • Portal reschedule - Smart customers use customer portal

Coming Q2 2026: Two-way SMS add-on ($10/mo) will allow customers to text back directly.
