Creating Quotes for Online Acceptance

Step 1: Create the Quote

  1. Go to QuotesNew Quote
  2. Select customer (or create new prospect)
  3. Add line items with pricing:
    • Service description
    • Quantity
    • Unit price
    • Subtotal calculates automatically
  4. Add optional:
    • Discount ($ or %)
    • Tax rate (if applicable)
    • Notes or terms

Step 2: Enable Online Acceptance

  1. Before sending quote, toggle Enable Online Acceptance
  2. Set expiration date (7, 14, or 30 days recommended)
  3. Choose signature requirement:
    • E-Signature Required - Customer must sign on screen (recommended)
    • Click to Accept - No signature, just button click
  4. Optional: Add deposit requirement
    • Require 25%, 50%, or custom % deposit
    • Customer pays deposit when accepting quote
    • Reduces no-shows

Step 3: Preview Before Sending

Click Preview to see exactly what customer sees:

  • Professional branded quote page with your logo and colors
  • All line items, totals, terms clearly displayed
  • "Accept Quote" button prominent at bottom
  • Mobile-optimized (looks great on phones)

Step 4: Send to Customer

  1. Click Send Quote
  2. Email auto-composes with:
    • Professional message
    • "View & Accept Quote" button
    • Expiration date reminder
    • Your contact info
  3. Customize email message if desired
  4. Click Send Now
  5. Quote marked as "Sent", status automatically tracked

The Customer Experience

What Customers See

  1. Email arrives with branded quote notification
  2. Clicks "View Quote" button in email
  3. Lands on quote page with:
    • Your company logo and branding
    • Clean, professional layout
    • All services, pricing, totals

Tracking Quote Status

Quote Dashboard

Go to Quotes page to see all quotes with statuses:

  • Draft - Not yet sent
  • Sent - Delivered, waiting for customer
  • Viewed - Customer opened the quote link
  • Accepted - Customer signed and accepted
  • Declined - Customer rejected (if you enabled that option)
  • Expired - Past expiration date, no action taken

Real-Time Notifications

Get instant alerts when quote status changes:

  1. Go to SettingsNotifications
  2. Enable quote notifications:
    • Quote Viewed - Know when customer opens link
    • Quote Accepted - Instant notification (email + in-app)
    • Quote Expiring Soon - 24 hours before expiration
  3. Choose notification method (email, SMS if add-on enabled, in-app)

Viewing Acceptance Details

After customer accepts quote:

  1. Click on quote from Quotes page
  2. See acceptance details:
    • Date/time accepted
    • Customer's signature (image)
    • IP address (for verification)
    • Deposit payment (if required)
  3. Download signed PDF for your records
  4. Quote automatically converts to job (if auto-scheduling enabled)

Security & Legal Compliance

E-Signature Validity

Electronic signatures are legally binding in Canada (PIPEDA) and USA (ESIGN Act).

Sergio captures:

  • Signature image - Visual proof
  • Timestamp - Exact date/time of acceptance
  • IP address - Verifies signer location
  • Device info - Browser, OS for audit trail
  • Quote version - What they agreed to (locked, can't be changed after signing)

Tokenized Links

Each quote gets a unique, secure link:

  • Unguessable - Random 12-character token
  • Single-use - Link expires after acceptance or expiration date
  • No login required - Customer accesses with link only
  • Revocable - You can invalidate link if sent to wrong person

Audit Trail

Complete record of all actions:

  • Quote created by [user] on [date]
  • Quote sent to [email] on [date]
  • Quote viewed on [date] from [IP]
  • Quote accepted on [date] from [IP] with signature
  • All stored permanently for legal compliance

Best Practices

Follow Up Strategy

If customer doesn't accept within 24 hours:

  1. Day 1 - Send quote
  2. Day 2 - If not viewed, send friendly reminder: "Did you get a chance to review the quote?"
  3. Day 4 - If viewed but not accepted, call to answer questions
  4. Day 6 - Final reminder before expiration
  5. Day 8 - Quote expires, send "offer still available" email with new link

Set Clear Expiration Dates

  • 7 days for residential quotes (creates urgency)
  • 14 days for small commercial (procurement cycles)
  • 30 days for large commercial (stakeholder approvals)
  • Expired quotes can be re-sent with one click

Require Deposits for Large Jobs

For jobs over $500, consider requiring 25-50% deposit:

Professional Quote Presentation

Make your quotes stand out:

  • Use detailed line-item descriptions ("Second-story windows, exterior only, screens removed/cleaned" vs. "windows")

  • Include your certifications, insurance, years in business
  • Add testimonials or Google review link
