Creating Quotes for Online Acceptance
Step 1: Create the Quote
- Go to Quotes → New Quote
- Select customer (or create new prospect)
- Add line items with pricing:
- Service description
- Quantity
- Unit price
- Subtotal calculates automatically
- Add optional:
- Discount ($ or %)
- Tax rate (if applicable)
- Notes or terms
Step 2: Enable Online Acceptance
- Before sending quote, toggle Enable Online Acceptance
- Set expiration date (7, 14, or 30 days recommended)
- Choose signature requirement:
- E-Signature Required - Customer must sign on screen (recommended)
- Click to Accept - No signature, just button click
- Optional: Add deposit requirement
- Require 25%, 50%, or custom % deposit
- Customer pays deposit when accepting quote
- Reduces no-shows
Step 3: Preview Before Sending
Click Preview to see exactly what customer sees:
- Professional branded quote page with your logo and colors
- All line items, totals, terms clearly displayed
- "Accept Quote" button prominent at bottom

- Click Send Quote
- Email auto-composes with:

- Expired - Past expiration date, no action taken
Real-Time Notifications
Get instant alerts when quote status changes:
- Go to Settings → Notifications
- Enable quote notifications:
- Quote Viewed - Know when customer opens link
- Quote Accepted - Instant notification (email + in-app)
- Quote Expiring Soon - 24 hours before expiration
- Choose notification method (email, SMS if add-on enabled, in-app)
Viewing Acceptance Details
After customer accepts quote:
- Click on quote from Quotes page
- See acceptance details:
- Date/time accepted
- Customer's signature (image)
- IP address (for verification)
- Deposit payment (if required)
- Download signed PDF for your records
- Quote automatically converts to job (if auto-scheduling enabled)
Security & Legal Compliance
E-Signature Validity
Electronic signatures are legally binding in Canada (PIPEDA) and USA (ESIGN Act).
Sergio captures:
- Signature image - Visual proof
- Timestamp - Exact date/time of acceptance
- IP address - Verifies signer location

- Quote version - What they agreed to (locked, can't be changed after signing)
